Important

This page is a product-focused privacy-policy draft, not a legal determination. It must be checked against the actual data flows, contracts, retention settings, hosting model and jurisdictions in which IntelliCallAI operates before publication.

1. Scope of this policy

This Privacy Policy explains how IntelliCallAI handles information when you visit our website, create or use an account, configure AI voice agents, connect telephony or other integrations, run calling workflows, or contact us.

This policy describes the platform's general data-handling practices. The information actually processed depends on the features you enable, the providers you connect, your account configuration, and whether you use a hosted or self-hosted deployment.

2. Information we may collect

Account and contact information. Information you provide when registering, managing an account, configuring agents, requesting support, or communicating with us. This may include your name, business details, email address, telephone number, account credentials, and support correspondence.

Service configuration and usage information. Agent instructions, knowledge-base content, phone-number and SIP configuration, campaign settings, integration settings, usage records, diagnostic information, and account activity needed to operate and secure the service.

Call and lead information. Depending on the features you configure, this may include caller and recipient telephone numbers, lead details, call timestamps, call status, recordings, transcripts, summaries, qualification results, appointment details, and other information exchanged during a call.

Transaction information. Payment and subscription information needed to manage purchases and billing. Payment-card information may be handled directly by the payment processor rather than stored by the platform; the applicable processor's terms and privacy notice also apply.

3. How information is used

We use information to provide, operate, maintain, secure, and support IntelliCallAI; authenticate users; configure and run AI agents; connect calls and integrations; manage campaigns and appointments; provide call records and summaries; administer subscriptions; troubleshoot issues; and respond to requests.

We may also use service and diagnostic information to monitor performance, prevent abuse, investigate incidents, and improve the reliability and functionality of the platform. We do not use this statement to promise that every third-party AI or telephony provider has the same data-use practices; review the provider terms for services you enable.

4. Voice calls, recordings and AI processing

When you use voice features, information may pass through the telephony carrier, the platform's call-routing components, and the AI voice or language services selected for the agent. Depending on your configuration, this may involve live audio, speech recognition, AI-generated responses, text-to-speech, call events, recordings, transcripts, summaries, and related metadata.

Recording and transcription availability depends on the features and settings enabled for your account and the relevant call workflow. Where recording controls are provided, account administrators are responsible for configuring them appropriately. Do not assume that disabling a recording option prevents every provider or system component from processing call audio temporarily to deliver a live voice conversation.

You are responsible for determining whether you may lawfully place or receive the calls, collect and use caller information, record or transcribe conversations, use AI-generated voice interactions, and send follow-up communications. You must provide required notices and obtain any required consent before collecting, recording, transcribing, or otherwise processing a person's information.

5. Leads, appointments and connected services

If you use outbound campaigns, lead imports, callback routing, appointment booking, calendar connections, messaging reminders, APIs, webhooks, or other integrations, information may be exchanged with the services you choose to connect. The information exchanged depends on the integration and the workflow you configure.

For example, a calling workflow may use a telephone number to identify the inbound agent assigned to that number and may associate a return call with an existing lead. Calendar or messaging integrations may receive the information needed to create an appointment or send a reminder.

You are responsible for reviewing the permissions you grant, the data you send to connected services, and the privacy terms and settings of those services.

6. Third-party service providers

The service may rely on third-party providers for telephony and SIP connectivity, AI and voice processing, hosting and infrastructure, payment processing, analytics, communications, calendars, and other integrations. Depending on your configuration, providers may include services such as Twilio, Telnyx, Asterisk-based telephony infrastructure, Deepgram, OpenRouter, ElevenLabs, Google Gemini, Sarvam AI, Google Calendar, and messaging or automation services.

This list describes technologies that may be used or connected; it does not mean every provider is used for every account or workflow. Providers may process information under their own terms, privacy notices, and contractual arrangements. Their retention, security, data-location, and model-training practices may differ. Review the current terms of each provider you enable.

7. Disclosure and sharing

We may make information available to service providers and integration partners to the extent reasonably necessary to deliver the features you request, operate the service, process transactions, provide support, protect the service, or comply with legal obligations.

We may also disclose information where required by law, to respond to valid legal process, to protect rights and safety, to investigate suspected misuse, or in connection with a business transaction, subject to applicable law.

The existing platform policy states that personal information is not sold to third parties. This statement should be reviewed against the company's actual advertising, analytics, data-sharing, and commercial practices before publication.

8. Data retention and deletion

Information is retained for as long as reasonably necessary for the purposes described in this policy, to provide the service, maintain account and transaction records, resolve disputes, enforce agreements, and meet legal or security requirements.

Retention periods may differ by data type and by the settings of connected providers. Deleting information from the platform may not automatically delete copies held by a telephony carrier, AI provider, payment processor, calendar service, messaging provider, or other integration. You may need to submit a separate request to the relevant provider.

The platform should publish specific retention periods for recordings, transcripts, call metadata, lead records, account data, backups, and support records once those periods have been confirmed operationally.

9. Security

We use administrative, technical, and organizational measures intended to protect information against unauthorized access, loss, misuse, alteration, or disclosure. Access to account information and connected services should be limited to authorized users and the permissions configured for the account.

No method of transmission, processing, or storage is completely secure. We therefore cannot guarantee absolute security. You are responsible for protecting account credentials, managing user access, securing connected provider accounts and API keys, and notifying us if you suspect unauthorized access.

10. International processing

Because the platform may connect to telephony, AI, hosting, payment, and integration providers in different jurisdictions, information may be processed or stored outside the country where you or your callers are located. Applicable safeguards and transfer requirements depend on the services used, the parties involved, and the relevant law.

Before production use, account owners should review the data-location and international-transfer terms of each provider connected to their workflows.

11. Self-hosted deployments

For a self-hosted deployment, customer-controlled infrastructure may store and process platform data, including call records, recordings, and transcripts. The exact division of responsibility depends on the deployment, support arrangement, external providers, and any services that remain connected.

The customer is responsible for securing and administering the infrastructure they control, configuring access and retention, maintaining backups, and meeting their legal obligations. A self-hosted deployment does not necessarily prevent information from being transmitted to external telephony, AI, payment, or integration providers selected or configured by the customer.

12. Your privacy rights and requests

Depending on your location and the laws that apply, you may have rights to request access to, correction of, deletion of, or a copy of personal information, or to object to or restrict certain processing. The availability and scope of these rights depend on the applicable law and the circumstances of the request.

To make a privacy request, use the privacy contact address configured for this website, if displayed below. If no privacy email is configured, contact the service through your established account support channel. We may need to verify your identity and clarify the request before acting.

13. Children's privacy

IntelliCallAI is a business service and is not intended to be directed to children. Account owners must not use the service to knowingly collect children's personal information unless they have the legal authority and all required safeguards and consents.

14. Changes to this policy

We may update this Privacy Policy to reflect changes to the service, our data practices, or applicable requirements. The updated version will be posted on this page with a revised effective or last-updated date. Your continued use of the service after an update is subject to the revised policy, to the extent permitted by applicable law.
